Timeline

May

 

Ensure ALL outstanding House League and Travel Equipment is collected and/or accounted for based on past season’s Equipment sign-out sheets and Goaltender Rental forms. Take inventory of leftover socks for HL and Travel.

New board members will require HMHA office keys. Collect keys from past members and sign out to new members. (Update the office key document).

June

 

Team forecasts for the following season must be completed (by Registration director ) so equipment order quantities can be determined.

 

Sock and Sweater order MUST be submitted by mid-June.

Complete the inventory for pucks, first aid kits, etc… and determine requirements based on team forecasts. Parents may begin calling for summer rentals. Arrange a time to meet and be sure the player attends for proper fit.

 

July

 

Submit the remaining equipment orders (pucks, goal equipment, etc) to suppliers by early July for delivery by mid to late August.

Submit any equipment for repairs.

Parents will be calling for summer rentals (likely for Travel goaltenders)

August

 

Equipment sign-out sheets for Travel and House League teams must be prepared.

 

Equipment orders will now be coming in. Depending on the size of the order, arrange for the supplier to either deliver the purchased equipment directly to Hespeler Arena or you may pick it up at their store. Distribute the new equipment and/or supplies to their respective HMHA lockers. Be sure to identify ALL HMHA items (i.e. goal equipment) with white or black marker.

 

Travel team lockers must be ready by the end of the month (if not sooner) in preparation for Tryouts. Based on the sign-out sheets, each Travel locker should consist of:

Make sure there are adequate portable sweater racks available for use during tryouts.

 

Attendance at the Travel Coaches Meeting is required. Just a brief overview of general equipment concerns along with handing out the sign-out sheets for signatures and distribution of HMHA office and locker keys.

Distribute ‘C’ and ‘A’ letters to ALL Travel coaches via HMHA mailboxes.

 

September

 

HL divisional locker keys may be handed out to the Jr. and Sr. HL Directors.

 

House League lockers must be ready prior to Evaluations in early September. Ensure there are full puck pails available in each HL locker to be used for evaluations. Your presence at the evaluations is optional (although recommended) as long as the HL Directors have access to the divisional lockers. Make sure there are adequate portable sweater carts assembled and available for use.

 

HL Socks should NOT be stored in the HL lockers until Mid October at the earliest; otherwise the Convenors may accidentally distribute them. HL teams are typically finalized by mid October or October 31st at the latest.

 

Arrange for meeting times with Divisional Convenors and their respective Coaches for Equipment handout.  All Coaches must sign and complete their equipment form. Remind ALL coaches that jerseys are to be WASHED prior to collection in April.

October – February

 

Transfer HL socks to Divisional lockers and inform Convenors for distribution (late Oct).

Approve any equipment repairs initiated by Divisional Convenors or parents of HMHA goaltenders. Don requires a signature as mentioned in the July timeline section.

Leftover socks may be inventoried for next year.

 

Prepare Equipment Budget for next season and submit to Treasurer (late January). This budget will also have to be presented to fellow HMHA Board members for approval.

 

March

 

Determine a date (usually the week after Award Banquets in April) and distribute notices to ALL HMHA coaches (re: Equipment return).  Delegate the notification process via the respective Jr. and Sr. House League Directors.

 

Distribute notices to ALL goal equipment renters for Goal Equipment Returns in April via Divisional Convenors (HL) or via their Travel Coach (HMHA mailboxes). (See goal equipment return document).

 

April

You may be required to attend an HMHA banquet and sit at the head table.

 

Collect ALL HMHA Equipment on scheduled return dates and during this time, count and record jersey quantities along with any missing or worn out jerseys.

 

Collect from goal equipment rentals. They have the option to keep during the summer or rent again in the fall.  Note any repairs that will be required prior to next season.
